About the Role:
Freedom Property Investors is seeking an experienced Office & Operations Manager to direct, control, and optimize day-to-day administrative operations and facilities across our Sydney Headquarters. This role is responsible for overseeing workplace services, procurement, financial administration workflows, WHS compliance, and managing administrative staff activities to maintain high operational standards.
Key Responsibilities
1. Office Operations & Administrative Management
• Plan, coordinate, and review all day-to-day administrative operations within the Sydney office.
• Establish, maintain, and enforce office operating procedures, administrative systems, and service standards.
• Allocate office resources, manage workspace requirements, and oversee equipment needs to support ongoing operations.
• Identify operational bottlenecks, streamline administrative workflows, and implement procedure improvements.
2. Facilities, Procurement & Supplier Management
• Oversee facilities maintenance, physical office infrastructure, and management of relationships with building management and contractors.
• Manage procurement, inventory controls, and distribution of office equipment, IT assets, and stationery supplies.
• Review third-party supplier agreements, negotiate service contracts, and coordinate the procurement of office goods and services.
• Manage physical office security, workplace access control, and swipe pass issuing protocols.
3. Staff Coordination & Operations Oversight
• Coordinate administrative support services and operational requirements for Sydney-based personnel.
• Assign work, monitor performance, and review completion quality of office administrative activities.
• Oversee employee onboarding and offboarding procedures, including workplace orientation, system access setups, and profile administration.
• Provide guidance to team members on workplace procedures, administrative policies, and reception/front-of-house operating standards.
4. WHS & Compliance
• Serve as Chief Fire Warden, leading office emergency procedures and safety drills.
• Maintain Workplace Health & Safety (WHS) protocols, risk assessments, and required compliance documentation.
• Ensure all office operations comply with Australian workplace regulations, statutory requirements, and internal policies.
5. Financial Administration & Records Control
• Oversee office financial administration, record-keeping, and operational expenditure within approved budgets.
• Manage finance inbox workflows, including the processing of accounts payable/receivable (sales and purchase invoices) through Xero.
• Administer direct debit setups and coordinate corporate insurance policy renewals (commercial and travel).
6. Corporate Logistics & Secondary Support
• Direct corporate event logistics, office setup, and host operations for internal and client functions.
• Coordinate domestic and international corporate travel logistics, accommodation, and itineraries.
• Provide secondary administrative support to senior management for corporate meetings and high-level correspondence as required.
Qualifications & Selection Criteria
• Education & Experience: Minimum 4+ years of experience as an Office Manager, Operations Coordinator, or Senior Administrator in a corporate environment.
• Software Competency: Advanced proficiency in Xero accounting software and Microsoft Office Suite (Excel, Word, Outlook).
• Operational Leadership: Demonstrated ability to establish administrative workflows, assign and supervise tasks, and manage office resources.
• Facilities & Procurement: Proven track record in supplier negotiation, physical inventory management, and building management liaison.
• Compliance: Certified Chief Fire Warden training or strong knowledge of Australian WHS standards.
