Maria Projects is a Sydney-based company specialising in exhibition stand construction and custom residential and commercial joinery. Established in 2018, the company coordinates design, manufacturing, project delivery, logistics and installation across Sydney and interstate.
As the business has grown, the volume and complexity of information exchanged across enquiries, quotations, projects, production, procurement, warehouse operations, logistics, invoicing and payments have increased.
Maria Projects therefore requires a full-time Systems and Integration Analyst to evaluate and improve its business systems, implement integrations and maintain reliable information flows across its operations.
Systems and Operational Requirements
As Maria Projects continues to grow, its operational processes and information requirements are becoming increasingly complex. The business requires consistent coordination and reliable information flow across customer management, project delivery, production, procurement, warehouse operations, logistics and finance.
Maria Projects requires a full-time Systems and Integration Analyst to evaluate its existing business systems and related processes, identify limitations and information gaps, and coordinate the implementation, integration and ongoing improvement of its digital platforms.
The successful candidate will consult with management and operational teams to understand their requirements, investigate system-related problems and define practical modifications, integrations and new system components that support the company’s operations.
The objective is to establish and maintain connected cloud-based applications that exchange information reliably and support consistent processes across the business. As the company’s projects, operational requirements and systems continue to change, the position will monitor system performance, investigate issues and coordinate ongoing improvements.
Because Maria Projects’ workflows are specialised, fast-moving and deadline-driven, applicants must have relevant experience in exhibition stand construction, exhibition production or a closely related event-fabrication environment.
Key Responsibilities
• Evaluate the company’s existing ICT systems, cloud applications and integrations to identify functional limitations, data inconsistencies, integration failures and areas requiring modification.
• Consult with system users to assess how existing applications perform against operational requirements and document the required system functionality and improvements.
• Analyse application dependencies, data structures and information exchange between CRM, project-management, production, warehouse, accounting, website, telephony and payment platforms.
• Determine the system modifications, additional components, interfaces or replacement applications required to improve system functionality, interoperability and performance.
• Prepare system specifications, functional designs, data models, interface requirements and integration documentation for proposed system changes.
• Select, establish and configure CRM, project-management and other cloud-based business platforms, including modules supporting quotations, invoicing, project activities, production and warehouse operations.
• Design, configure and maintain systems used to manage exhibition and joinery projects, production tasks, component schedules, quality checks, warehouse activities, logistics and shared resources.
• Design and implement integrated and automated system workflows connecting customer enquiries, sales opportunities, projects, production, warehouse operations, invoicing and payments.
• Configure and maintain integrations connecting website enquiries, telephony and communication platforms with the company’s CRM and project-management systems.
• Design, develop, test and maintain API-based integrations and automated data synchronisation between the company’s business applications.
• Develop scripts, data transformations and configuration rules required to automate system processes and enable reliable communication between interconnected applications.
• Establish and maintain data mappings, synchronisation rules, validation controls and error-handling processes to ensure accurate and consistent information across integrated systems.
• Develop and maintain system dashboards and reports covering sales, project progress, production workload, procurement, warehouse readiness, installations, resource utilisation and financial performance.
• Assess, configure and integrate suitable AI-supported applications into defined business systems and workflows, including lead management, quotation preparation and technical drawing review.
• Conduct system and user acceptance testing, monitor system and integration performance, diagnose faults, and implement the configuration, code or data changes required to correct problems and improve functionality.
• Prepare system documentation, technical procedures and user guides, provide employee training and system support, and liaise with software providers or external developers where substantial customisation is required.
Required Experience and Skills
• A bachelor’s degree or equivalent tertiary qualification in Information Technology, Information Systems, Computer Science, Software Engineering, Information Systems Engineering or a closely related field.
• At least five years of relevant professional experience in business analysis, systems analysis or business systems implementation.
• Experience within the exhibition stand, exhibition production or closely related event fabrication industry is essential.
• Strong understanding of project-based manufacturing and deadline-driven production environments, with the ability to understand business needs, identify underlying issues and translate them into practical, fit-for-purpose system and process solutions
• Experience with CRM implementation, project management systems, workflow automation, custom business applications, CRM modules and systems integration.
• Strong requirements gathering, process mapping, gap analysis and solution design skills, with an understanding of data structures, relationships and information flows across interconnected business systems.
• Experience designing or maintaining API-based integrations between CRM, project management, accounting, websites, telephony or other business platforms.
• Experience designing management dashboards, operational reports and KPI reporting based on data from multiple business systems.
• Ability to translate management and operational reporting requirements into practical dashboards and reliable business metrics.
• Experience testing and implementing new systems and training employees to use them.
• Ability to communicate effectively with management, operational employees, production teams, technical specialists and external service providers.
Highly Regarded
• Experience with exhibition logistics, interstate project delivery, installation and dismantling.
• Knowledge of joinery manufacturing, procurement, warehouse processes and factory production scheduling.
• Experience integrating CRM systems with websites, telephony, accounting, invoicing and payment platforms.
• Practical experience implementing AI-assisted tools within business workflows.

You are comfortable working directly with management and operational teams, identifying the real causes of business problems and developing systems that are practical, connected and suitable for a fast-paced exhibition and manufacturing environment.
