Paramount Developments is an established property development, construction and fabrication business based in Condell Park, New South Wales. The business operates across residential, commercial and retail property development and provides services encompassing project planning, design and construction, steel construction and fabrication, project delivery and installation.

The business manages projects through multiple stages, including client consultation, project planning, estimating and project management, drawings and approvals, fabrication, construction, delivery and installation. Its operations require ongoing coordination between management, project teams, engineers, estimators, tradespeople, clients, suppliers, contractors and external professional service providers.

To support these operations and ensure its administrative functions, personnel, records, office resources and internal processes are effectively organised and controlled, Paramount Developments is seeking to appoint a dedicated full-time Office Manager.

About the Role

The Office Manager will be responsible for organising and controlling the administrative functions and resources of the office, supporting the efficient operation of Paramount Developments' construction, property development and fabrication activities.

The position will oversee administrative systems, office personnel, business records, accounts documentation, office equipment and general office operations while coordinating administrative requirements between management, project personnel, suppliers, contractors, clients and professional service providers.

The role requires a highly organised and responsible individual capable of managing competing administrative priorities within a project-driven construction environment and ensuring office operations are maintained efficiently and in accordance with company policies and applicable regulatory requirements.

Key Responsibilities

The Office Manager will be responsible for:

• Contributing to the planning and review of office services, establishing administrative priorities and maintaining appropriate office service standards to support construction, development and fabrication operations.

• Allocating administrative resources, office space and equipment to support management, project and operational personnel.

• Assigning work to administrative staff and monitoring work performance, providing direction, guidance and supervision where required.

• Managing office records and accounts documentation, including invoices, purchase documentation, correspondence, employee records, payroll information, supplier and contractor records and other administrative information.

• Coordinating administrative documentation associated with construction projects, property developments, fabrication activities, suppliers and contractors.

• Liaising with professionals and external stakeholders, including accountants, consultants, suppliers, subcontractors, contractors and service providers, to coordinate office business and resolve administrative matters.

• Facilitating communication and administrative coordination between management, project managers, estimators, engineers, site personnel and office staff.

• Maintaining systems for tracking business correspondence, contracts, quotations, purchase documentation, supplier information and project-related administrative records.

• Ensuring office equipment, systems and supplies are maintained, serviced and replenished as required.

• Ensuring office activities and administrative processes comply with applicable Work Health and Safety requirements, company policies, procedures and relevant regulatory obligations.

• Coordinating personnel administration, including recruitment support, employee onboarding, payroll documentation, leave and attendance records, staff training coordination and maintenance of employee files.

• Maintaining organised electronic and physical filing systems and ensuring confidential business, project and employee information is appropriately maintained and secured.

• Preparing reports, correspondence, spreadsheets, meeting documentation and other administrative materials for management and project personnel.

• Coordinating meetings, appointments and administrative schedules and assisting with internal communication across office and project teams.

• Monitoring administrative procedures and implementing improvements to office systems, document control, workflow and administrative efficiency.

• Supporting management with the administrative coordination of multiple projects and ensuring relevant documentation and information is available to appropriate personnel.

• Maintaining effective communication with clients, suppliers, contractors and other stakeholders regarding administrative and business matters.

Qualifications and Experience

Applicants should possess:

• An AQF Associate Degree, Advanced Diploma or Diploma in Business Administration, Office Management, Management or a related discipline; or

• At least three years of relevant experience may substitute for the formal qualification where applicable.

Applicants should also demonstrate:

• Relevant office management or senior administrative experience, preferably within construction, property development, engineering, fabrication or a project-based business environment.

• Strong organisational, leadership and time-management skills.

• Ability to supervise administrative staff and coordinate office activities across multiple operational functions.

• Experience maintaining business, project, supplier, contractor, employee and accounts-related records.

• Ability to coordinate administrative requirements between office personnel and operational/project teams.

• Strong written and verbal communication skills.

• Competency in Microsoft Office and general business administration and record-management systems.

• Understanding of workplace health and safety and general compliance requirements.

• Strong attention to detail and ability to maintain accurate and confidential business records.

• Ability to work independently, manage competing priorities and operate effectively within a fast-paced construction and project environment.
