About the role
The Office Manager is responsible for the smooth day-to-day running of IMPACT Strength and Fitness. The role combines front-of-house leadership, member experience, financial administration, human resources support, compliance oversight and facilities management, ensuring that the business operates efficiently, safely and profitably.
Duties and Responsibilities
• Open and close the facility in accordance with rostered hours, ensuring the front desk is presented, staffed and operational during business hours.
• Greet members, prospective members and visitors warmly and professionally, and act as the first point of contact for enquiries in person, by telephone, email and through social media channels.
• Manage incoming and outgoing mail, deliveries and courier services.
• Maintain a tidy, welcoming and on-brand reception area, including retail displays, promotional signage and information materials.
• Respond promptly to member queries and complaints, escalating to the owner where appropriate.
• Administer the member management system, including new member sign-ups, contract variations, holds, cancellations and terminations.
• Process membership payments
• Maintain accurate and current member records
• Support member retention initiatives, including welcome calls, check-ins, referral programs and member events.
• Manage member communications, including newsletters, class updates, closure notices and promotional campaigns.
• Handle disputes and chargebacks courteously and in line with the business's terms and conditions.
• Maintain the class timetable, personal training schedule and facility booking calendar.
• Coordinate coach and trainer rosters, including cover arrangements for leave or illness.
• Manage class capacity, waitlists and cancellations, and communicate changes to members in a timely way.
• Administer bookings for personal training, small group training, assessments and special events.
• Perform day-to-day bookkeeping
• Process accounts payable & manage accounts receivable
• Process payroll
• Track and report on business performance metrics
• Prepare monthly financial reports for the owner and liaise with the external accountant on end-of-financial-year matters.
• Maintain employee and contractor records
• Coordinate recruitment activity for support staff and coaches
• Administer onboarding and induction for new employees and contractors as well as assist with offboarding
• Manage leave requests, timesheets and roster changes.
• Support performance management and professional development activity
Essential Skills
• Excellent written and verbal communication skills.
• Strong organisational skills with the ability to manage competing priorities and deadlines.
• Current First Aid and CPR certification
• Familiarity with gym or studio management platforms
• Ability to consistently provide positive experience for members and prospects; treats every interaction as an opportunity to build loyalty.

Qualifications needed:
• Minimum Diploma level or equivalent relevant work experience
• Minimum one year of work experience on relevant position
