Maria Projects is a Sydney-based company specialising in exhibition stand construction and custom joinery.
Established in 2018, we have grown from a small installation team into a multi-service business delivering large projects across Sydney and interstate.
Exhibition stand construction is a highly technical and time-sensitive industry. Every project requires careful coordination between clients, designers, suppliers, production teams, installers and event organisers. Design approvals, technical drawings, procurement, manufacturing, graphics, AV equipment, furniture, transport and onsite installation must all be managed within strict deadlines.
At the same time, our residential and commercial joinery projects must be incorporated into the factory’s production schedule without conflicting with exhibition deadlines.
About the role
As Maria Projects continues to grow, we are seeking a full-time Business Systems Analyst to support the continued development of our operations and enhance how information flows across the business.
The successful candidate will review existing business processes, systems and workflows, identify opportunities for greater efficiency and consistency, and lead the implementation, integration and ongoing improvement of our digital systems.
The role will be responsible for understanding business and operational requirements, identifying process gaps and opportunities for improvement, and translating these into effective technology solutions that support the way Maria Projects operates and grows.
The objective is to develop and maintain a comprehensive suite of connected, cloud-based business applications that work together as one unified operating system for the company, with clear and efficient processes and information flows across the business.
Because our workflows are specialised, fast-moving and deadline-driven, applicants must have relevant experience in the exhibition stand, exhibition production or closely related event fabrication industry.
Key Responsibilities
• Review existing business processes and identify operational problems, inefficiencies, information gaps etc…
• Gather requirements from management, project teams, production staff and other operational users.
• Translate business needs into clear system requirements and practical technology solutions.
• Design and improve digital warehouse processes covering packing lists, completeness checks, storage records, damage reporting, transport preparation and the return of components following exhibitions.
• Design and implement an integrated company-wide workflow from the website/phone enquiries through to leads, deals, projects, production, warehouse, invoicing and payments.
• Select, establish and configure CRM, project management and other cloud-based business platforms.
• Design and implement custom CRM modules supporting quoting, invoicing, payment tracking, warehouse processes, project activities and internal operations.
• Design and implement integrated systems and workflows that coordinate exhibition projects with custom residential and commercial joinery, ensuring effective management of shared production capacity, resources, schedules and operational information.
• Integrate website lead capture with the CRM to create a structured entry point for new enquiries.
• Introduce and integrate internal systems for staff collaboration, project communication and communication with clients.
• Design and maintain API-based integrations and automated data synchronisation between CRM, project management, accounting, website, telephony, warehouse, AI and other business systems.
• Work with management and operational teams to define reporting requirements and develop dashboards that provide reliable, up-to-date information on sales, projects, production, procurement, warehouse readiness, installations, resource use and financial performance to support daily decisions, capacity planning and long-term business improvement.
• Integrate appropriate AI-supported tools into company workflows, including marketing, lead generation, quotation preparation and technical drawing review.
• Improve systems supporting production scheduling, procurement, component management, warehouse operations, quality control, packing, dispatch, logistics, installation, dismantling, refurbishment and material reuse.
• Coordinate system testing, user acceptance testing, validation and implementation.
• Prepare system documentation and provide training and support to employees.
• Manage and maintain the company’s systems daily, resolve issues and make improvements when required.
Required Experience and Skills
• A bachelor’s degree or equivalent tertiary qualification in Information Technology, Information Systems, Computer Science, Software Engineering, Information Systems Engineering or a closely related field.
• At least five years of relevant professional experience in business analysis, systems analysis or business systems implementation.
• Experience within the exhibition stand, exhibition production or closely related event fabrication industry is essential.
• Strong understanding of project-based manufacturing and deadline-driven production environments, with the ability to understand business needs, identify underlying issues and translate them into practical, fit-for-purpose system and process solutions
• Experience with CRM implementation, project management systems, workflow automation, custom business applications, CRM modules and systems integration.
• Strong requirements gathering, process mapping, gap analysis and solution design skills, with an understanding of data structures, relationships and information flows across interconnected business systems.
• Experience designing or maintaining API-based integrations between CRM, project management, accounting, websites, telephony or other business platforms.
• Understanding of API-based system integration, automated data synchronisation, data relationships and error-handling requirements across interconnected business applications.
• Experience designing management dashboards, operational reports and KPI reporting based on data from multiple business systems.
• Ability to translate management and operational reporting requirements into practical dashboards and reliable business metrics.
• Experience testing and implementing new systems and training employees to use them.
• Ability to communicate effectively with management, operational employees, production teams, technical specialists and external service providers.
• Ability to understand a business problem before recommending or implementing a technology solution.
Highly Regarded
• Experience with exhibition logistics, interstate project delivery, installation and dismantling.
• Knowledge of joinery manufacturing, procurement, warehouse processes and factory production scheduling.
• Experience integrating CRM systems with websites, telephony, accounting, invoicing and payment platforms.
• Practical experience implementing AI-assisted tools within business workflows.

You are both analytical and practical. You understand that successful digital transformation is not simply about introducing new software—it requires a detailed understanding of how the business operates and how people, processes and technology must work together.
You are comfortable working directly with management and operational teams, identifying the real causes of business problems and developing systems that are practical, connected and suitable for a fast-paced exhibition and manufacturing environment.
