About the Role
On behalf of a fast-growing event media production company specializing in live streaming, video, and photography for conferences and trade shows, we are seeking an experienced Conference and Event Organizer. You will be the central coordinator for high-profile events, ensuring seamless integration of cutting-edge audiovisual and media services into every client’s experience.
Key Duties and Responsibilities
Client Consultation & Customisation
• Conduct in-depth client meetings to understand event objectives, then design tailored packages that incorporate video production, live streaming, and dynamic signage.
• Respond to detailed inquiries about room hire, AV equipment, catering, and on-site media services, providing transparent cost breakdowns.
Logistics & Service Coordination
• Arrange and oversee all event logistics, including registration systems, participant travel, accommodation, and social functions.
• Coordinate the setup of complex audiovisual equipment, camera crews, lighting, and live-streaming infrastructure to match production timelines.
Contractor & Budget Management
• Negotiate service costs with vendors (caterers, AV suppliers, transport) to stay within budget while maintaining production quality.
• Supervise on-site contractors, manage variations to work orders, and report progress to stakeholders.
Promotion & Registration
• Promote conferences and trade shows through targeted campaigns, leveraging client’s media assets (sizzle reels, speaker interviews).
• Manage attendee registration systems, ensuring data accuracy and seamless check-in.
Requirements
• Minimum 3+ years in conference/event coordination, ideally within a media or AV-centric environment.
• Strong negotiation skills and budget accountability; ability to balance creative demands with financial constraints.
• Proven ability to coordinate multiple contractors under tight deadlines.
• Excellent communication and client-facing presentation skills.
• Relevant qualification to above field.
