Position Summary

As the Dispatch Coordinator, you will direct and coordinate all dispatch activities to ensure customer delivery requirements are met cost-effectively and in strict accordance with company policy. Serving as the frontline interface between the company and our customers, you will be pivotal in maintaining exceptionally high standards of customer service and operational efficiency.

Key Responsibilities

Safety & Compliance

Safety Culture: Maintain a safe working environment, comply with all relevant health, safety, and environmental legislation, and actively promote a positive safety culture.

Driver Management: Ensure drivers are issued accurate paperwork, possess the correct equipment, and follow all site safety rules (including signing in and out).

Transport Compliance: Ensure strict adherence to load restraint, overloading, and oversised regulations, as well as driver fatigue management compliance.

Incident Management: Manage workplace hazards, risks, and incidents proactively.

Return to Work: Comply with offered suitable duties and return-to-work obligations in relation to Workers Compensation.

Dispatch Operations

Load Planning: Plan loads and deliveries to optimise space and capacity within agreed notice periods.

Coordination: Produce detailed delivery schedules and picking slips. Coordinate daily loading activities with the yard and production teams to prevent disruptions.

Quality Control: Perform thorough pre-delivery checks ensuring accuracy in type, quantity, quality, and load restraints.

Tracking: Track loads and liaise with cartage providers to guarantee timely deliveries.

Communication: Maintain a delivery whiteboard to aid stakeholder visibility and communication.

Customer Service & Relations

Stakeholder Management: Build and maintain effective relationships with key internal teams, external customers, and suppliers.

Inquiry Handling: Efficiently manage telephone inquiries, providing proactive, accurate, and positive responses.

Issue Resolution: Handle conflicts professionally, offer immediate solutions, and keep all stakeholders informed regarding delivery issues or delays.

Financial & Reporting

Credit Control: Operate strictly within company guidelines for account customers and credit policies. Ensure no deliveries are made to customers on stop-credit without authorisation.

Cash Sales: Verify payment confirmation prior to dispatching any cash sales.

Liaison: Work closely with the Credit Manager and Account Managers regarding customer credit control.

Accountability: Ensure transport companies are paid on time and resolve any goods-issued/unbilled delivery discrepancies within agreed timescales.

Reporting: Produce weekly wide-load compliance summaries and weekly dispatch summary reports.

(Note: Duties may be varied from time to time consistent with your training and skills.)

Qualifications & Experience

Education & Experience

Tertiary qualifications in a relevant field.

Proven previous experience in a similar dispatch, logistics, or operational role.

Strong background in customer service and stakeholder management.

Skills & Competencies

Attention to Detail: High level of accuracy and strong numeracy skills.

Software Proficiency: Highly competent in Google Workspace and/or Microsoft Office. Previous experience using SAP is highly desirable.

Leadership: Ability to manage and allocate resources effectively, while helping to develop and execute broader company strategies and objectives.
