About this job

Part-time reception and admin role in a busy, growing physiotherapy practice — Officer

PHYSIO ON GROUP is looking for a warm, organised and genuinely capable receptionist to join our Officer clinic three days a week. If you take pride in running a front desk that feels calm and welcoming — and in keeping the admin behind it airtight — we'd like to hear from you.

About us

PHYSIO ON GROUP is a multi-location musculoskeletal physiotherapy practice serving the Cardinia and Casey communities, including Officer, Pakenham, Beaconsfield, Berwick, Clyde North and Cranbourne East. We are an accredited WorkCover, TAC and NDIS provider, a certified GLA:D® centre, and a preferred provider with several major health funds.

Our team is experienced, collegial and clinically serious — and our patients tell us the front desk is a big part of why they keep coming back.

The role

Working alongside our physiotherapists, you'll be the first point of contact for every patient who walks in or calls.

Your day will include:

Greeting patients and managing the reception area

Answering phones, triaging enquiries and booking appointments

Managing the practice diary — rebookings, cancellations, waitlists and clinician schedules

Processing payments, HICAPS private health claims, Medicare EPC/CDM claims and third-party billing (WorkCover, TAC, NDIS)

Patient recall calls and follow-up to keep treatment plans on track

New patient registration, consent and file management

Correspondence with GPs, insurers and case managers

General clinic administration, stock ordering and keeping the space presentable

About you

Essential:

Previous reception, customer service or administration experience — healthcare setting strongly preferred

Excellent phone manner and written communication

Confident with practice management software and comfortable learning new systems

Strong attention to detail, particularly with billing and claiming

Able to prioritise calmly when the phone, the front desk and a clinician all need you at once

Reliable, punctual and available for the rostered days

Current Working with Children Check (or willing to obtain)

Desirable:

Experience with Nookal (or similar — Cliniko, PracSuite, Front Desk)

Familiarity with Medicare, HICAPS and WorkCover/TAC claiming

Experience in allied health or general practice

What we offer

[$30-35 per hour plus superannuation

Consistent, family-friendly hours — 3 days per week, [shift times], no weekends

A supportive, well-run clinic with clear systems and documented processes

Genuine training and induction — you won't be thrown in the deep end

Free on-site parking

Scope for additional hours as the practice grows

send your CV with a short cover letter telling us why you'd enjoy this role. [email protected]
