Rastogi Accountancy & Taxation Services Pty Ltd is a professional accounting and taxation practice based in Cannington, providing comprehensive financial, taxation and business advisory services to individuals, sole traders, partnerships, companies and trusts. The firm assists clients with taxation compliance, financial reporting, bookkeeping, payroll, BAS and GST lodgements, business registrations, ASIC compliance and strategic business advice.

As the practice continues to expand its client portfolio and business operations, client is seeking an experienced and highly organised Office Manager to oversee the day-to-day administrative operations of the practice. This position is responsible for ensuring the efficient management of office systems, coordinating administrative activities, supporting professional accounting staff, maintaining client records, supervising office procedures and contributing to the efficient delivery of accounting and taxation services.

The successful candidate will possess excellent organisational and leadership skills, be capable of managing multiple priorities in a professional services environment and demonstrate a commitment to delivering exceptional client service while maintaining strict confidentiality and operational efficiency.

Key Responsibilities

- Plan, organise and coordinate the day-to-day administrative operations of the accounting practice to ensure efficient workflow and high-quality client service.

- Develop, implement and review office administrative systems, policies and procedures to improve operational efficiency and support business growth.

- Coordinate appointment scheduling, client onboarding, correspondence, document management and workflow allocation to support accountants and tax professionals.

- Oversee office budgets, monitor administrative expenditure, manage procurement of office supplies and maintain cost-effective office operations.

- Supervise administrative staff, allocate work responsibilities, provide training and monitor performance to ensure efficient service delivery.

- Maintain secure client records, accounting documentation and confidential information in accordance with legislative, professional and company requirements.

- Coordinate the preparation, filing and management of business documentation, taxation records, ASIC correspondence and regulatory compliance documentation.

- Liaise with clients, financial institutions, government agencies and external service providers regarding administrative and operational matters.

- Oversee office technology, practice management software and digital record management systems to ensure business continuity and operational efficiency.

- Prepare management reports relating to office performance, workflow, resource utilisation and administrative operations for senior management.

- Assist in implementing quality assurance initiatives and continuous improvement strategies to enhance client service and business performance.

- Ensure compliance with workplace health and safety requirements, privacy legislation, record management obligations and company policies.

Qualifications and Experience Required

- AQF Diploma, Advanced Diploma or Bachelor's degree in Business Administration, Management, or a related discipline.

- At least one year of relevant experience as an Office Manager or in a comparable office administration management role.

- Previous experience within an accounting, taxation, financial services or professional services environment will be highly regarded.
