One of our Clients, Iconic Trading and Services Pty Ltd is looking for an experienced Project Admin. Our client is one of the leading building and construction works providers in Melbourne's western region. Our client is an expert in building works to designing and custom homes with premium quality standards. We are currently seeking a skilled carpenter to join our team; the details of the job position are listed below:
Position: Project Admin
Salary Range: $80k to $95k plus superannuation, subject to review based on performance
Location: Ravenhall, VIC, 3023
The role involves the following tasks:
Role Overview:
A Project Administrator provides administrative support to project managers and teams to ensure projects are completed on time, within budget, and to the required quality standards. They coordinate project activities, maintain documentation, and facilitate communication among stakeholders.
Tasks and Responsibilities:
Administrative Support:
- Assist in the preparation and maintenance of project documentation, including plans, schedules, budgets, and reports.
- Organise and schedule meetings, prepare agendas, and take minutes.
- Manage project correspondence and communication
Coordination:
- Coordinate project activities and resources, ensuring alignment with project goals.
- Liaise with internal and external stakeholders to ensure smooth project execution.
- Track project progress and report on milestones, risks, and issues.
Financial Management:
- Assist in monitoring project budgets and expenditures.
- Process invoices, purchase orders, and other financial documentation.
Documentation and Reporting:
- Maintain accurate and up-to-date project records and files.
- Prepare regular progress reports for project managers and stakeholders.
- Ensure compliance with organizational policies and procedures.
Communication:
- Act as a point of contact for project-related inquiries.
- Facilitate communication between project teams, stakeholders, and external parties.
Risk Management:
- Identify and report potential risks or issues to the project manager.
- Assist in implementing risk mitigation strategies.
Skills and Qualifications:
- Have at least Diploma level Qualifications in the releavnt field.
- Have at least 3 year full-time of work experience in the related field (in Construction industry desirable)
- Strong organisational and time management skills.
- Excellent written and verbal communication skills.
- Proficiency in project management software and tools (e.g., MS Project, Asana).
- Knowledge of financial and administrative processes.
- Ability to work collaboratively in a team environment.
- Attention to detail and problem-solving skills.
