Arnhem Land Pest Control in Nhulunbuy NT is looking for an experienced Office Manager for a permanent full-time position to join their team.
The primary responsibility of the Office Coordinator is to manage day-to-day operations of the office, ensuring that all tasks are completed efficiently and deadlines are met. She must clearly understand the goals of the organisation and develop a clear vision of exactly how operations will help achieve them.
The Office Coordinator ensures the provision of high quality administrative, financial and reception support to Arnhem Land Pest Control Director
Key Responsibilities
1. Manage a small team
2. Oversee overall contracts including Government contract jobs, planning, systems and controls.
3. Schedule and coordinate daily works
4. Oversee overall financial management, planning, systems and controls
5. Invoicing
6. Supervise and coach operational staff on a weekly basis
7. Manage HR requirements
8. Management and setting of the business budget in coordination with the executive Management team
9. Improve the operational systems, processes and policies – specifically to support better management, reporting, information flow and management, business processes and organisational planning.
10. Play significant role in long term planning, including an initiative geared toward operational excellence
11. Filing and archiving accounts records
12. Typing, photocopying, emailing and faxing correspondence
13. Attend monthly Executive Management meetings and submit a report based on company’s financial status
14. Submit tender and quotations
15. Submit cost benefit analysis for any out-station work
16. Influence and lead others in the team to produce high quality project outcomes
17. Ensure that delivered products comply with contract specifications and recording and reporting on any non-conformances
18. Ensure that the project/job complies with WHS systems, policies, standards and procedures
19. Developing, reviewing and negotiating variations to contracts, programs, projects and services
20. Responding to inquiries and resolving problems concerning contracts, programs, projects, services provided, and persons affected
21. Managing paperwork associated with contracts, programs, projects and services provided
22. Working with Technicians, Architects, Engineering Professionals, owners and others to ensure that goals are met
23. Advising the management on matters requiring attention and implementing their decisions
24. Collecting and analysing data associated with projects undertaken, and reporting on project outcomes
25. Oversee office activities by providing guidance and training on office procedures, data entry, procurements, billing, collections, typing correspondences, and administrative policies and procedures.
26. Process pesticide licenses, permits, certificates and registrations.
27. Provide office supervisory support by supervising and coordination secretarial and clerical support functions for the Pesticide Regulation Section.
28. Ability to handle billing inquiries and attend to account payable/receivable, run daily reports and manage record keeping.
29. Accounts Receivable, including preparing and posting deposits, invoicing and generating monthly statements.
30. Stay aware of current industry trends, products and equipment.
31. Maintains office services by organizing office operations and procedures; preparing payroll where required, controlling correspondence; designing filing systems; reviewing and approving supply requisition; assigning and monitoring clerical functions
32. Contributes to team effort by accomplishing related results as needed
33. Other reasonable tasks as required
Essential:
1. Be proficient at using Microsoft Office, including Excel, Word and Outlook
2. Be capable of working unsupervised
3. Have a professional phone manner
4. Have good time management skills
5. Have an ability to clearly and effectively communicate with different cultures
6. Observe Arnhem Land Pest Control’s Occupational Health and Safety policy and other policies
7. Possess sound knowledge of MYOB
A remuneration package between $70,000.00 – $90,000.00 per year plus superannuation will be negotiated depending on skills and experience.
